VEHICLE DAMAGE
& CONDITION POLICY
Standards governing vehicle condition documentation, handling, transportation, on-set protection, damage reporting and repair procedures for vehicles booked through Official Cinema Cars.

PROTECT THE PRODUCTION.
Picture cars may include privately owned vehicles, collector vehicles, specialty builds, modified vehicles, classics, exotics and other automobiles requiring careful handling.
Official Cinema Cars expects productions, vehicle owners, drivers, transportation providers and other involved parties to take reasonable precautions to protect every vehicle throughout the booking.
VEHICLE CONDITION & PROTECTION
PRE-PRODUCTION CONDITION
Vehicle condition should be reasonably documented before the vehicle is released for or begins work on a production.
Documentation may include photographs, video, written notes or other records showing the exterior, interior, wheels, glass and other relevant areas of the vehicle.
Existing scratches, chips, dents, wheel damage, interior wear, mechanical concerns or other known conditions should be identified whenever practical before production use begins.
AUTHORIZED VEHICLE HANDLING
Vehicles should only be operated, moved, loaded or otherwise handled by individuals authorized for the applicable production and vehicle.
Vehicle owners may establish reasonable restrictions regarding who may drive or handle their vehicle. Those restrictions should be communicated before the booking whenever possible.
Keys should not be transferred to unauthorized personnel, and vehicles should not be operated outside the agreed production use without appropriate authorization.
LOADING & TRANSPORT
When vehicle transportation is required, appropriate equipment and procedures should be used based on the vehicle's dimensions, ride height, value, configuration and condition.
Specialty, exotic, modified, lowered or collector vehicles may require enclosed transportation, extended ramps, soft straps, wheel nets or other specialized equipment.
Transportation arrangements should be coordinated in advance when practical. Any special loading requirements disclosed by the vehicle owner should be communicated to the transportation provider.
ON-SET VEHICLE PROTECTION
Reasonable precautions should be taken to protect vehicles while parked, staged, photographed, filmed or otherwise used on set.
Production personnel should use care around painted surfaces, wheels, bodywork, glass, interior materials and specialty components.
Equipment, tools, wardrobe items, camera rigs, adhesives, cables or other materials should not be placed on or attached to a vehicle without appropriate authorization.
MODIFICATIONS & ALTERATIONS
A production should not modify, disassemble, drill, cut, repaint, wrap, decal or otherwise alter a vehicle without prior authorization from the vehicle owner or authorized representative.
Temporary modifications should be discussed before installation, including how the modification will be attached and how the vehicle will be restored afterward.
Any approved alteration should be performed using methods appropriate for the vehicle and its materials.
STUNTS & HIGH-RISK USE
Normal picture-car use does not automatically include racing, drifting, burnouts, aggressive driving, stunt driving, impacts, jumps, off-road use or other unusually hazardous activity.
Any proposed stunt, high-risk driving sequence or materially different vehicle use must be disclosed and specifically authorized before the activity occurs.
Additional insurance, compensation, safety measures, professional drivers or separate agreements may be required.
DAMAGE REPORTING
Any known accident, impact, scratch, dent, mechanical issue, interior damage, wheel damage or other material change in vehicle condition occurring during a booking should be reported promptly.
When practical, the affected area should be photographed before cleaning, repair, adjustment or other corrective work is performed.
Official Cinema Cars should be notified as soon as reasonably possible so the matter can be documented and coordinated with the vehicle owner and production.
REPAIR AUTHORIZATION
Except when immediate action is reasonably necessary to prevent additional damage or address an urgent safety concern, repairs should not be performed without appropriate authorization.
The vehicle owner should generally be involved in decisions regarding repair facilities, replacement parts and repair methods, particularly for collector, exotic, custom or modified vehicles.
Repairs should seek to restore the vehicle to its documented pre-production condition using appropriate parts, materials and workmanship.
INSURANCE & DAMAGE CLAIMS
Productions may be required to provide evidence of applicable insurance before a vehicle booking is confirmed or before the vehicle is released for production use.
When damage occurs, applicable claims should be handled according to the production's insurance coverage, booking agreement and other relevant documentation.
OCC may assist with communication and documentation between the parties but does not replace the responsibilities of the applicable insurer, production, vehicle owner or other responsible party.
LOSS OF USE & RELATED COSTS
Vehicle damage may result in expenses beyond the physical repair itself, including towing, transportation, inspection, storage, detailing or other reasonable costs associated with addressing the incident.
Depending on the circumstances and applicable booking agreement, loss-of-use or other documented costs may also be considered when a vehicle cannot reasonably be used because of production-related damage.
Responsibility for such costs will depend on the applicable agreement, insurance coverage and circumstances of the incident.
OWNER RESPONSIBILITIES
Vehicle owners should disclose known conditions that may materially affect safe operation, transportation or production use of the vehicle.
Owners should communicate special operating instructions, starting procedures, ground-clearance limitations, security systems, modifications or other vehicle-specific considerations before production use whenever practical.
Owners are responsible for accurately representing the general condition and relevant characteristics of vehicles submitted to Official Cinema Cars.
POST-PRODUCTION INSPECTION
Vehicle condition should be reviewed within a reasonable period after production use is completed.
Any newly discovered damage believed to have occurred during production should be reported as soon as reasonably possible with photographs or other supporting documentation when available.
Prompt inspection and reporting help OCC, the vehicle owner and production address legitimate concerns efficiently and accurately.

VEHICLE PROTECTION.
Every vehicle deserves appropriate care. OCC works to establish clear expectations between vehicle owners and production professionals before the vehicle arrives on set.
Specific rental agreements, insurance requirements and written booking terms may establish additional requirements and supersede this general policy where applicable.
